Missed Call Text Back for Med Spas: Catch the Consult Call While You Are With a Client
Missed call text back for med spas is an automatic text that goes to a caller about a minute after you miss them, so a botox, filler or laser consult request hears from you before they try the next spa. It says up front that it is an AI assistant, asks what they are interested in, and passes the answer to your team.
Why med spas miss calls
Your injector has a needle in hand. Your esthetician is mid-treatment with the door closed. The front desk is checking someone out. Nobody can pick up, and nobody should.
The caller is often comparing. They looked at three spas online, saved a few numbers, and called the ones with the best photos. Many are curious but not sure yet. A text that arrives right away, friendly and short, keeps that curiosity pointed at you.
For the broader math, see the real cost of a missed call and our missed calls hub. This page is the med spa version.
Sample cost math (sample numbers, plug in your own)
These are sample numbers, not a forecast. Count your own misses for a week and replace every line.
| Line | Sample number | Your number |
|---|---|---|
| Missed consult calls per week | 6 | |
| Share who would have booked | 1 in 3 | |
| Booked consults per week | 2 | |
| Average first-visit value | $400 | |
| Value per week | $800 | |
| Value in a 4-week month | $3,200 |
Repeat clients add more. If a first visit often turns into a package or repeat visits, count that in your own number.
The calls a med spa text back has to handle
- Consult request. Botox, fillers, laser, skin treatments. Needs name, the treatment they are curious about, and preferred days.
- Price shopper. "How much is botox?" The assistant never quotes a price you did not give it. If you share a starting price, it can repeat that. Otherwise it offers a consult and says the team will go over cost.
- Rebooking. An existing client who wants their next visit. Needs name and preferred days.
- Post-treatment question. Swelling, redness, bruising. The assistant collects a callback number and flags it for your team. It does not give advice.
- Package or membership question. Needs a callback time. The team explains the details.
An allergic reaction after treatment, trouble breathing, severe swelling, or sudden vision changes is not a text thread. The assistant tells the caller to call 911 and flags the message for a human right away.
3 sample texts
Edit these to sound like your spa. Each one says it is an AI assistant, and none quotes a price you did not set.
Sample text: first reply, any missed call "Hi, this is the AI assistant for [Spa] Med Spa. Sorry we missed your call, the team is with clients. Are you looking for a consult (botox, fillers, laser, skin care), rebooking, or do you have a question about a recent visit? Reply here and we will follow up."
Sample text: price shopper "Thanks for calling [Spa]. I am an AI assistant. Pricing depends on the treatment and the area, so the team likes to talk it through at a short consult. Which treatment are you curious about, and which days work for you? A person will confirm."
Sample text: post-treatment question "Thanks for reaching out. I am an AI assistant. What is the best number to reach you? Please do not send medical details or photos by text. I am flagging this for the team now. If you have trouble breathing, a severe reaction, or sudden swelling, call 911."
The assistant does not diagnose, recommend treatments, or promise results.
The workflow, step by step
- Trigger. A call rings out, goes to voicemail, or drops before anyone picks up.
- Action. The system checks that the number is a mobile and that it has not already texted that caller today.
- Message. In about 30 to 60 seconds, a text goes out that says it is an AI assistant and asks what the caller needs.
- Handoff. The reply is sorted by call type. Post-treatment questions go to a clinician or manager as urgent. Consult requests get a slot offer from the days you set. Price shoppers are offered a consult. Rebooking and package questions are queued for the front desk.
- What the owner sees. A short summary by text or email for each lead: name, number, treatment of interest, call type, how urgent, and the thread. You do not log into anything new. Your team works the list from the top.
Privacy note
Client health information should not be collected by text. The AI takes contact details and the reason for the call only, such as "botox consult" or "rebooking", and leaves medical history, medications and photos for a conversation with your team. Depending on your setup, HIPAA may apply to you, so check your obligations with a qualified professional.
Consent and rules
Rules exist for texting and calling people, including the federal TCPA, state laws, and carrier and platform requirements, and marketing text rules are stricter than service replies. They change, and the answers depend on your situation. Check with a qualified professional before you turn anything on.
Checklist before you turn it on
- Hours and after-hours rules are written down
- Someone is named to take post-treatment flags, plus a backup
- The 911 wording is in the script
- You decided which prices, if any, the assistant may share
- Consult days and times are set
- The assistant is told not to ask for medical history, medications or photos by text
- First text says it is an AI assistant
- You tested it by calling from your own cell
Common questions
What is missed call text back for a med spa?
An automatic text sent to someone who called and did not reach you. It asks what they need so the conversation starts before they call another spa.
How fast should a med spa text back?
About a minute is a good target. People comparing spas often go with the first one that replies.
What does it say to a price shopper?
Only what you allow. If you gave it a starting price, it can share it. If not, it offers a consult and says the team will go over cost.
Can it answer post-treatment questions?
No. It collects a callback number and flags the message for your team. For anything urgent, it tells the caller to call 911.
Is it okay to collect health details by text?
Keep it to contact info and the reason for the call. Ask a qualified professional about your HIPAA obligations before you decide what else to collect.
