Missed Call Text Back for Plumbers: How to Set It Up

A homeowner with water coming through the ceiling does not leave a voicemail. They call the next plumber on the list. Missed call text back for plumbers is an automatic text that goes out within seconds of a call you could not answer, so the customer hears from you first.

What is missed call text back?

It is a text message that sends itself when a call goes unanswered. The caller gets a short message from your business number. They can reply, and the conversation keeps going. It does not replace picking up. It buys you time and keeps the lead from going to the next name on the list.

Plumbing is a hard fit for voicemail. The calls are urgent, they come at odd hours, and the caller usually has a few numbers open at once.

The calls a plumber misses

Not every missed call is the same. Here is how they usually sort out:

  • Burst pipe or active leak. Needs a human now.
  • Sewer backup or clogged main. Urgent, often messy, needs a human fast.
  • No hot water or water heater out. Urgent, but usually not a flood. A booked slot works.
  • Frozen pipes. Common in Minnesota and Wisconsin winters. Can turn into a burst pipe fast, so ask if water is running or pooling.
  • After hours calls. Evenings, weekends and holidays. Often the urgent ones.
  • Estimate requests. Repipes, water heater installs, bathroom rough-ins. Less urgent, but the customer is shopping and will take the first answer.

Each one needs a different text. One generic "Sorry we missed you" is better than nothing, but it wastes the first reply.

The workflow, step by step

  1. Trigger. A call to your business line goes unanswered, hits voicemail, or comes in after hours. A web form or website chat lead can use the same flow.
  2. Action. A text goes out to the caller within seconds. It says who you are, tells them it is an automated assistant, and asks one question: what is going on?
  3. Sample message. Short, plain, one question. See the three samples below.
  4. Handoff. If the reply mentions a burst pipe, active leak, sewer backup, gas smell, or no heat with frozen pipes, the system flags it as an emergency and sends it to a human on your team right away. Your on-call person decides what happens next. The assistant does not diagnose and does not quote repairs.
  5. What the owner sees. A text summary: caller name and number, the problem in one line, address if given, how urgent it looks, and the booked time if there is one. You read it in ten seconds and call back or let the booking stand.

Sample message: burst pipe or active leak

Hi, this is Northside Plumbing's automated assistant (an AI, not a person). We missed your call. If water is actively leaking, shut off your main water valve if you can and reply LEAK. A real person on our team will be alerted right away. What is your address?

Sample message: no hot water or water heater out

Hi, this is Northside Plumbing's automated assistant (an AI, not a person). Sorry we missed your call. Is your water heater leaking, or is it just not heating? Reply with what you see, and your address, and we will get you on the schedule. If there is water on the floor, reply LEAK.

Sample message: estimate request (repipe or water heater install)

Hi, this is Northside Plumbing's automated assistant (an AI, not a person). Thanks for calling about an estimate. What do you need done (repipe, water heater swap, something else)? Reply with your address and a good time this week for someone to take a look. Our team will confirm the visit.

These are samples. "Northside Plumbing" is a placeholder name, not a client. Swap in your company name, your service area and your own wording.

Winter and after hours: what changes

Minnesota and Wisconsin winters bring frozen and split pipes, and the calls cluster on the coldest nights. Two things help:

  • Ask about running water first. "Is water coming out anywhere?" tells you whether this is a thaw call or a flood call.
  • Set clear rules for what counts as an emergency, and who gets woken up. Write it down once. The system follows it every time.

After hours, the text still goes out. Emergencies go to your on-call person. Everything else gets a booked slot for the next open window, so you start the morning with a list instead of a pile of voicemails.

A quick example (sample numbers)

These are sample numbers, not results. Say a water heater install is a $2,000 job. If you miss one install call a week and the caller books with someone else, that is $2,000 a week left on the table. Swap in your own job values and miss rate. For the longer version of this math, read the real cost of a missed call for a service business.

Checklist before you turn it on

  • Your business number can send texts (check with your phone provider).
  • The text says who you are and that it is an AI assistant.
  • You wrote the emergency list (burst pipe, active leak, sewer backup, gas smell, frozen pipes with water).
  • You named who gets emergency alerts and a backup for nights and weekends.
  • You wrote your hours and service area.
  • You decided what the assistant never does (quotes repairs, diagnoses, promises arrival times).
  • You tested it by calling your own line at night.
  • You know how a customer opts out (reply STOP).
  • You read the rules on texting customers (see below).

Texting rules

Consent and marketing rules for SMS exist. These include the federal TCPA, state laws, and carrier and platform rules. They can change and they depend on how you use the texts. Check with a qualified professional before you turn anything on. This page is general information, not legal advice.

Common questions

What is missed call text back?

It is an automatic text sent to a caller when you do not answer. The text opens the conversation so the lead does not go cold while you are on a job.

How fast should a plumber text back?

As fast as you can. A text that goes out within seconds, while the caller still has the phone in hand, is the goal. Plumbing callers often call two or three companies in a row, so the first useful reply tends to get the conversation.

Does missed call text back work after hours?

Yes. It sends at any hour. Routine requests get a booked slot. Emergencies are flagged and sent to your on-call person, who decides what happens next.

How much does it cost?

It depends on the setup. Riot Digital's pricing page shows The Front Desk at $497 setup (or $0 with a 3-month commitment) plus $397/mo, The Office Manager at $1,500 setup plus $797/mo, and The Operator from $3,000 with custom monthly pricing. It also says there are no per-message fees. Check the pricing page for current details.

Can a missed call text back handle emergencies?

It can spot the words that point to one and alert a human fast. It does not fix the problem and it does not decide what is safe. Your team does that.

Riot Digital installs AI employees for small businesses: your inbox, calendar, and follow-ups, handled 24/7 with your approval. Founder-operated from Prior Lake, Minnesota.
